Important information regarding Public Board meetings during the COVID-19 pandemic

In light of the restrictions introduced by the Government to limit the spread of COVID-19, the Epsom and St Helier Board of Directors will – as a temporary measure– not meet in Public in the coming months. During this period of heightened pressure on NHS Trusts, agendas for our Public Board meetings will also be streamlined to the most critical business.

The Trust is committed to maintaining transparency and accountability to the public during this period. As a result, we will continue to publish the papers for our public Board meeting on our website as far as possible within the usual timeframe. We also welcome questions from the public submitted at least 24 hours before the meeting to esth.boardquestions@nhs.net  Whilst we will endeavour to answer these as quickly as possible, the timescale for responses to these questions will be subject to operational pressures.  All responses to questions will, as previously, be published on our website at https://www.epsom-sthelier.nhs.uk/board-meetings

Given the uncertainty as to how long the current restrictions will be required, the position set out above will remain in place until further notice. However, we look forward to welcoming back members of the public to our Board meetings as soon as the necessary steps to limit the transmission of COVID-19 are lifted.

Board meetings

Board meetings are held in public at either St Helier Hospital or Epsom Hospital. You are welcome to attend the meetings and listen to the discussions that take place.

Questions from the public

In line with other trusts, we are introducing a change to the way that members of the public are able to ask questions at our public board meetings. 

From June 2019 onwards, all questions need to be submitted in writing to esth.boardquestions@nhs.net by 9am on the Wednesday of the week that the Board meeting is held. 

Questions submitted will be read out at the end of the Public Board Meeting. 

You can find a log of all questions asked and the responses to them below. This will be updated after each Board meeting.

If you have any questions please do not hesitate to contact us.

The Board will meet in private session immediately following each public part of the meeting to discuss items which will include:

  • Reports pertaining to litigation or potential litigation
  • Items that are potentially commercially sensitive (as well as commercially confidential) for either the trust or a third party, eg contracts or tendering reports
  • Matters concerning individual patients or members of staff, such as detailed Serious Incidents Reports
  • Data that may be adjudged ‘protected’ under the Data Protection Act 1998 (DPA)
  • Documents that may be exempt from disclosure under the Freedom of Information Act 2000 (FOI).  

The board also has a number of committees, which focus on specific areas of work.

Upcoming Board meetings

Board meetings are held in public at either St Helier or Epsom Hospital. You are welcome to attend the meetings and listen to the discussions that take place. 

Please be aware that all public board meetings will be filmed and that this footage, including the questions asked, will be made available on the Trust's website. Our filming will continue to be strategically arranged so the camera is fixed on members of the Trust Board and not on any members of the public.  

Public Board meetings 2020-21

  • Friday 1 May between 9.30am – 12pm, Conference Room One, Epsom Hospital
  • Friday 12 June between 9.30am – 10.30am, Whitehall Lecture Theatre, St Helier Hospital (this is an extraordinary Board to present the accounts)
  • Friday 10 July between 9.30am – 12pm, Whitehall Lecture Theatre, St Helier Hospital
  • Friday 11 September between 9.30am – 12pm, Conference Room One, Epsom Hospital
  • Friday 13 November between 9.30am – 12pm, Whitehall Lecture Theatre, St Helier Hospital
  • Friday 8 January 2021 between 9.30am – 12pm, Conference Room One, Epsom Hospital.

The agenda for these meetings will be published in the Board papers and agendas section of our website one week before each meeting. The papers that are to be discussed will be published in advance of the meeting. Previous minutes are also available.
